Tournament Hosting Agreement
The standard every verified Gaming Center agrees to before hosting a station tournament: readiness, fair conduct, and what happens if a tournament is run poorly.
1. Overview
This Tournament Hosting Agreement applies to every verified Gaming Center that creates a station tournament on Passionate Gammerz. It sits alongside, and does not replace, our Terms and Conditions and the Tournament Rules that already govern every tournament on the Platform.
You must read this page and check the agreement box before the tournament creation form becomes available to your account. Accepting it is a one-time step per version, if this page is ever materially updated, you will be asked to accept the new version before your next tournament.
2. Hosting Is a Commitment, Not a Casual Decision
A tournament is a public promise to every Gamer who registers: that it will start on time, be run fairly, and pay out what it advertised. Do not create a tournament to "see what happens," to test the feature, or without a genuine, funded, staffed plan to run it start to finish.
Before you create a tournament, be sure your gaming center actually intends, and is able, to run it properly. A tournament created for fun or convenience, with no real intention to see it through, is a breach of this Agreement even if no Gamer ends up harmed.
3. Readiness: Equipment, Venue, and Staff
Before you publish a tournament and open registration, confirm your gaming center can actually support it:
- Enough working gaming units of the right type, in good condition, for the format and headcount you are advertising.
- A stable internet connection, reliable power (including backup power where your listing claims it), and a venue that can comfortably seat and host every match you schedule.
- Enough staff on hand for the full run of the tournament to manage check-in, supervise matches, and record results without long delays.
- A realistic schedule. Do not announce more matches, rounds, or participants than your venue and staff can actually handle in the time you have set.
4. Prize Availability
If a tournament advertises a prize, that prize must already be available to you, in hand or otherwise guaranteed, before the tournament is published. Do not advertise a prize you have not secured and do not intend, or are not able, to hand over.
The winner must receive the exact prize advertised, in the condition and form promised, within a reasonable time after the tournament concludes. Substituting a lesser prize, delaying payment without a genuine reason, or failing to deliver the prize at all is a serious breach of this Agreement and of the Tournament Rules.
5. Fair and Honest Conduct
A tournament you host must be conducted fairly, from registration through to the final result. This is non-negotiable.
No discrimination
Every eligible Gamer who registers under the tournament's stated rules must be treated the same way. You may never accept, reject, seed, schedule, or disqualify a participant because of their race, ethnicity, gender, religion, disability, or any other characteristic unrelated to fair competition.
No manipulation of results
Match-fixing, pre-deciding outcomes, pressuring a participant to lose, or recording a result that does not reflect what actually happened is strictly forbidden, whether it benefits your gaming center, a specific participant, or anyone else. Every result you upload must be the true outcome of the match played.
Clear rules before you need them
Write your tournament's format, seeding method, and pairing/bracket rules into the Rules field before registration opens, in enough detail that a participant can see exactly how matchups and advancement are decided. If your stated rules are silent or unclear on how a pairing should be made, you may not resolve that gap in a way that favors one participant over another. When in doubt, seed and pair using an objective, repeatable method (such as random draw or ranking order) and be ready to explain it.
No favoritism
Do not give any participant an advantage, such as an easier bracket path, extra time, a better unit, or advance notice of an opponent's strategy, that is not available to every other participant under the same rules.
6. Fixtures and Results Integrity
Publish fixtures with enough notice for participants to show up. Upload results promptly and honestly once a match concludes, every result you upload is permanently logged against your gaming center's account. Correcting a genuine mistake is allowed; disguising a manipulated result as a mistake is not.
7. Communicating With Participants
Keep the tournament's status, fixtures, and any changes up to date on its Passionate Gammerz page so registered Gamers are never left guessing. If something changes on your end (a delay, a venue issue, a schedule change), update the tournament and, where the Platform supports it, notify participants as early as possible.
8. Cancellation and Postponement
If you genuinely cannot run a tournament as advertised, cancel or postpone it as early as possible rather than letting it fail silently or run half-heartedly. Refunds for a cancelled paid tournament follow the No Refund Policy and Tournament Rules. Repeated cancellations are reviewed the same way repeated poor-quality tournaments are, see Section 9.
9. Your Reputation and Account Standing
Hosting tournaments is a privilege extended to verified gaming centers in good standing, not an automatic right of every verified account. A poorly run, dishonest, discriminatory, or abandoned tournament reflects directly on your gaming center's public reputation on the Platform and on Passionate Gammerz as a whole.
Admins review tournament activity, including cancellations, participant reports, disputed results, and prize complaints, as part of normal Gaming Center oversight. Depending on severity and pattern, a breach of this Agreement can result in a warning, removal of the tournament, loss of tournament-hosting privileges, or suspension of your gaming center's account under our existing verification and enforcement process. A center suspended for cause does not forfeit anything it has already lawfully earned, but pending payouts may be held pending review, exactly as described in the Terms and Conditions.
10. Acceptance
By checking the agreement box before creating a tournament, you confirm, on behalf of your gaming center, that you have read and understood this Agreement, that you intend to run the tournament you are about to create start to finish, and that you accept the consequences described above if you do not.
